Role Description School/ Service: Hatcham College Location: South East London

Salary: S13 - S16 (£21,816 - £23,449) Hours per week: 35 hours a week, 44 weeks a year Accountable to: Business Manager

Summary of responsibilities :

  1. Responsibility for the smooth running of the front facing reception area and other staff who provide reception cover, including maintaining communication channels regarding messages to staff, pupils and parents. ensuring that reception cover is maintained across the whole year, including periods of school closure.

  2. Responsible for reception/switchboard duties including: a. dealing with all telephone calls, taking messages and dealing with enquiries

b. greeting visitors to the College, being responsible for signing-in procedures and the issuing of visitors’ badges, ensuring DBS certificates and ID are seen and recorded as necessary.

c. responding to parental enquiries either by phone or in person

d. supervising and providing support to students who come to reception to sign in or out or with other queries

  1. In the event of a fire alarm, to take responsibility for monitoring the reception area until an SLT member arrives. To take a register of all visitors who have signed in to ensure they are accounted for and to ensure the student late sign in sheets (from Google Sheets) are sorted into Year Group and printed for the Attendance Officer. To ensure written procedures are in place so that they may be followed in the event of the Senior Receptionist’s absence.

  2. To act as an On call First Aider (if trained) as well as maintaining records of students who are taken ill and ensuring that transport is arranged before students leave the premises. In the case of accidents, to ensure that appropriate forms are completed and an ambulance is called if necessary.

  3. Responsibility for maintaining a system for and dealing with Lost Property.

  4. Responsibility for maintaining the main office photocopier and reporting faults to the service provider.

  5. Responsibility for the efficient running of post distribution, dealing with all external and internal mail, including sending, logging and tracking parcels with parcel force and subsequent monitoring. To make arrangements with couriers for the collection of exam papers.

  6. To undertake any other duties appropriate as may be required by the Business Manager, including supporting at Parents Evenings, Open Evenings and other College events as and when required

  7. Record and file relevant student documents as requested by SLT

  8. Distribute post to staff and assist with postal requirements

  9. Assist with photocopying and printing needs of teaching staff

  10. Maintain stationery supplies within the reception area

  • To be aware of and assume the appropriate level of responsibility for safeguarding and promoting the welfare of children and to report any concerns in accordance with the safeguarding policies
