If yes, we are looking to recruit a Medical Administrator, to work at our busy GP Practice based in Coventry.

25-30 hours per week, on a rota shift system covering the hours between 08.00am and 18.30pm.

About us

We have a team of 1 GP Partner, 4 Salaried GP's, 2 ANP’s, 2 HCAs and a team of receptionists and admin staff.

Job Title: Medical Administrator

Reporting to: Practice Manager

Duties : The post holder will be responsible for maintaining our practice website, in house television monitors, and social media platforms.

Be a key member of staff in the delivery of our QOF and IIF campaigns.

The post holder will be responsible for adding all clinical rotas to our clinical system in a timely manner.

To ensure our clinical correspondence is produced accurately and sent in a timely manner using all current forms of general practice software, Emis, Docman, NHS mail, Accurx, E-referrals etc. This involves clinical admin duties including workflow, clinical coding and summarising.

Deal with general patient enquiries, explain procedures and make new and follow-up appointments.

Using your own judgment and communication skills to ensure patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.

Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.

Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.

Action repeat prescription requests and ensure that they are ready for collection by the patient/pharmacy within 48 hours, in line with Practice protocol.

Act on clinician’s requests for further information/patient contact information etc. (including computerised practice notes), ensuring completion of all associated paperwork.

Advise patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts for same.

Prepare clinical rooms for surgeries, supply prescription forms and record numbers in use and ensure adequate supplies of consumables (including bottles, couch rolls, test request forms etc.)

Covering colleagues’ holiday and sick cover as required.

Record actions taken in patient record where appropriate or in accordance with practice protocols.
