Position Overview To provide a comprehensive and efficient administrative service to the Food & Beverage teamTo manage the office environment providing an exceptional guest and colleague experience, by maintaining office essentials, coordinating administrative duties and anticipating customer needs in a professional manner ensuring a seamless service experience What you'll get Complimentary nights with breakfast within Dorchester Collection50% F&B discount at selected restaurants at The Dorchester and Coworth ParkVery generous Employee Introductory Scheme offeredTeam members' awards and incentives schemesContributory pension scheme entitlement from date of commencementLife assurance cover for all team membersUniform laundered complimentaryComplimentary meals whilst on duty at our team members' restaurantsComplimentary Internet at allocated computers in team areasCycle to work schemeOccupational Health, including subsidized massage treatments and health clinicsComplimentary Eye Test for VDU users What you'll do F&B AdministrationTyping and sending all F&B department’s related correspondence, menus etc. including those relating to some restaurant enquiries and confirmationsCompose letters on behalf of the F&B team in line with Coworth Park standardsType special menus for groups, promotions etc. and other menus as requiredOperate and manage the computer system according to office procedures, filing documents in a logical and easily accessible systemMaintain an up to date filing system and accurate trace systemManage office supplies and hotel collateral, ensuring enough stationery is available and stockedSort, date stamp, distribute and collate post for F&B team and frank all outgoing mailAnswer the telephone within three rings in a friendly, courteous and efficient manner, providing accurate information to the callerMeet and greet visitors, create a warm welcome, conduct show rounds and deal with all enquiries professionallyAssist in research for promotions, projects and competitor’s analysis etc.Attend meetings and take minutes as required.Ensure office, kitchen and reception areas are kept tidy and clean at all timesReceive and coordinate pick up of deliveriesCoordinate meeting room diary and ensure meeting room is set up accordinglyRestaurant ReservationsTake reservations and accurately record any special requirements, payment and contact detailsConfirm reservations both verbally and in writing ensuring special requirements are referred toRespond to all external and internal F&B enquiries (via email or website) within 24 hours Ensure timely and efficient internal communication on all details to a reservation e.g. menu and wine choice, final number of guests, menu/place card requirements etc. to relevant departmentsHealth & SafetyComply with all statutory and company health and safety, fire, bomb and security regulationsEnsure job required certificates are kept up to dateFlexibilityAlong with your main duties you may be asked to complete other tasks and duties as and when necessary and reasonably requiredYou may on occasion be required to adjust your hours of work to cover the business needs What you'll bring Hospitality backgroundPrevious experience within an operational roleStrong administration skills with office management experienceProficient in MS OfficePrevious experience in Opera and DelphiKnowledge of food & beverageExcellent written and spoken EnglishGood organisational skillsCan work to deadlines within a pressurised environmentTakes initiativeImmaculate presentationAbility to prioritise work loadTeam playerExperience of taking minutes at meetingsSelf-starter
