The Role - The Project Support Coordinator will work closely with Engineering Management, Program Management office (‘PMO’), and the Project Technical Leads (‘PTL’s’). They will facilitate the execution of projects through the Product Realisation Process (‘PRP’) by utilising strong administrative and organisational skills.

This newly created role will also support other administrative tasks across the team as needed, to support the product development and Program management teams.

Key Duties

  • Support the execution of projects through the PRP process.
  • Assisting Program Management Lead, PTL’s and Team Managers with day to day queries / issues / concerns
  • Updating, communicating, informing and assisting project team members
  • Raising and chasing orders for project materials
  • Collating project costs
  • Support with raising Purchase Orders, admin tasks on ERP system
  • Support administration of Agile parts
  • Support correct completion of Jira time recording data, and user timesheet data in Smartsheets
  • Support generation/administration of project reports through Cognos system
  • Support PMO/PTL with documentation and scheduling of Gate and Design reviews
  • Support generation/chasing of Safety certificates
  • Working with team to implement new systems / processes with emphasis on continuous improvement
  • Organising meetings/events
  • Facilitating travel with travel coordinator
  • Ensuring proactive regular capture of PTO in Smartsheets
  • Supporting Engineering and PMO Management with other administrative tasks as appropriate
  • Picking up ad hoc tasks to support the smooth running of projects and the product development (Engineering) function

Requirements : Essential -

  • Proven and demonstrable experience in Project support or administrative function
  • Proficient in MS Office inc. Excel, Word, and PowerPoint.
  • Ability to communicate and collaborate effectively across functions, teams, and geographies, ensuring all stakeholders are informed and consulted with in a timely manner
  • Fast-learner, ability to work autonomously with mínimal supervision once tasked with an activity
  • Ability to think through difficult problems thoroughly and accurately and to provide solutions
  • Ability to focus on both short
  • and long-term priorities simultaneously and knows when to deepen analysis and when to make a decision.
  • Comfortable working in a fast-paced environment
  • Have excellent organisational skills with a high attention to detail

Desirable -

  • Experience working in an engineering or technology environment
  • Knowledge of Project management processes, tools and methods
  • Experience with tools such as Smartsheets, JIRA, Agile, Cognos
  • Knowledge of ISO9001 Quality procedures
