28 hours per week. Responsible for administering all HSE Inductions to new staff members including FTC, Contractor and Temporary staff, ensuring all relevant paperwork is completed, followed through and processed as required. Carry out daily inspections, monitor, address and log any issues as appropriate. Monitor submission of workstation assessment forms. Ensure any equipment required/issues raised are addressed in efficient and timely manner with staff member updated at all times. Administer all processes and procedures relating to Fire Wardens. Ensure adequate cover across all sites. Arrange Bi-Annual Fire Drills. Hold follow up reviews with Wardens and fully document. Implement any agreed changes. Recruit new Fire Wardens as required. Administer all processes and procedures relating to First Aiders. Ensure adequate cover across all sites. Arrange training, retraining and requalification sessions as required to ensure no certificate breaches. Recruit new First Aiders as required. Responsible for bi-annual checks of all First Aid Boxes to ensure acceptable stock levels and all supplies are within date. Order new supplies as required. Arrange regulatory PAT testing across both office sites and for homeworkers as required. Ensure all Health and Safety information displayed on boards around both office sites and WAT is accurate and up to date at all times. Mail Room Maintain a full mail room function on a daily basis ensuring all processes are efficient and effective at all times. Ensure all processes are accurately documented and digitally stored centrally within Office Services folder. Stock Checks - Responsible for Stationery and Consumable stock checks and reordering as required. Car Park Administration - Responsible for sending weekly e:mail survey to all car park space holders/members on car park waiting list to request submission of parking requirements for following week. Allocate parking as required each week. Work with Receptionto capture any changes to ensure car park usage is maximised at all times. Liaise with Reception on daily basis to ensure compliance. Address/resolve any issues. Ensure all mail lists are kept updated. Reception/Security - Provide cover during lunchtime break at Reception. Archive/Data Storage - Manage liaison between staff requests and third party provider. Approved Supplier/Contractor Vetting List - Work with Senior Office Services Administrator to update information annually to ensure accurate and compliant. QUALIFICATIONS / EXPERIENCE REQUIRED Excellent organisational, administrative and planning skills with the ability to multi-task, organise and prioritise workload. Strong attention to detail. Proactive team player with drive to work under own initiative. Excellent written and verbal communication skills with the ability to deal professionally with staff at all levels. Proven ability to complete activities within required timescales.
